Clinic Lead Refund Policy

Refund and Credit Policy

At SoftWave Clinics, we are committed to providing high-quality lead generation services to our partner providers. Our refund policy ensures fairness while maintaining the integrity of our lead generation system.

Cancelled Appointments

If a lead contacts us to cancel their appointment prior to the date and time of the original scheduled appointment, they will be refunded if applicable, and the associated lead credit will be returned to the clinic’s account. These leads will not count towards the clinic’s total leads.

No-Show Appointments

Leads who do not attend their scheduled appointment without prior cancellation will not be credited back to the clinic’s account. These leads are still billable.

Extenuating Circumstances for Refunds

  • A refund may be granted if a lead is found to be medically ineligible for SoftWave Therapy due to conditions such as:
  • Recent injections that contraindicate treatment
  • Active cancer diagnosis
  • Other medical conditions that make the treatment unsafe (as determined by the provider)

Leads Who Decline Further Treatment

Refunds will not be issued for leads who complete their first session but choose not to purchase a full treatment package. The decision to continue treatment is solely at the discretion of the lead, and these leads remain billable.

Prohibited Practices

To maintain fairness in our lead generation system, SoftWave Clinics strictly prohibits

Clinics from encouraging their leads to cancel their appointment to avoid being charged.

Enforcement and Compliance

SoftWave Clinics reserves the right to monitor lead interactions and take appropriate action in cases where abuse of the refund policy is suspected. Repeated violations may result in suspension or termination of a clinic’s participation in our lead program.
